Account Manager, Customer Service

Polaris Direct is currently seeking an Account Manager, Customer Service. This position combines the arts of customer service and project management. The Account Manager is the liaison between important customers, partner vendors, and internal Polaris Direct departments to facilitate high-quality and timely output of work in the field of direct marketing and printing services and 1:1 marketing campaign management.

Duties and Responsibilities:

Account Managers will oversee and engage in all aspects of the project life-cycle including:

  • Serving as point of contact for clients, both internal and external, resulting in client satisfaction and retention using responsiveness and ease of process
  • Serving as project manager for production efforts and guide direct mail campaigns from beginning to completion in an organized and detail-oriented manner, with the end result being a finished product to match the client’s request
  • Following established SOP’s and QA procedures utilizing established checklists and other company processes, activities and systems
  • Ensuring all client requirements are understood and translated effectively to all necessary departments
  • Reviewing client’s mailing expectations and provided source documents to write detailed data processing instructions, including specifications, personalization and lettershop instructions
  • Managing project schedules and ensuring that deadlines will be met
  • Managing artwork, work orders, proofs, change orders, and obtaining approvals, while keeping all internal and external contacts updated throughout the process
  • Serving as liaison with management, internal departments, and vendors/suppliers to troubleshoot problems and provide innovative solutions
  • Coordinating with accounting department to ensure accurate billing: cost documentation, invoicing, and postage reconciliation for final billing
  • Cross-training on other clients for team members on leave of absence or vacation

Qualifications:

  • 2- or 4-year college degree or equivalent industry experience
  • Specialized knowledge of direct mail lettershop procedures
  • Outstanding verbal and written communication skills
  • Strong project management and problem-solving skills
  • Aptitude for learning new software systems
  • Knowledge of US Postal regulations
  • Ability to work under pressure and with tight deadlines
  • Ability to work in a team environment
  • Ability to demonstrate math aptitude:
    • Add, subtract, multiply and divide in all units of measure
    • Ability to compute rate, ratio and percentage
    • Ability to draw and interpret bar graphs

This position requires the ability to work in a fast-paced and ever-changing environment while demonstrating accuracy and thoroughness throughout. It requires the ability to work cooperatively with multiple departments in-house to champion the needs of your customer(s). It requires the ability to be accommodating, communicative, and yet firm when needed with Polaris Direct’s customers and partner suppliers. While this position offers a set schedule of Mon – Fri 8am to 5pm, it requires flexibility to change schedules or work overtime as needed during projects or campaigns that may require it. This position requires you to complete HIPAA certification and demonstrate full understanding of the importance of protecting client information. Additionally, this position requires you to be open to presenting creative ideas and accepting feedback, be comfortable in a team environment, and resilient in the face of adversity.

Manager, Production Services

Polaris Direct is currently seeking a Manager of Production Services.

The Manager of Production Services directs single-site manufacturing operations through a team of supervisors. The position ensures increasing levels of customer and employee satisfaction while improving the efficiency of manpower, materials and machines.

Duties and Responsibilities:

  • Maintain compliance with established training programs for new team members
  • Maintain compliance with established department procedures
  • Recommend revisions / additions to department procedures through the Director of Operations
  • Oversee the day-to-day operation of the Lettershop
  • Process jobs according to assigned schedules and monitor the job load to ensure efficient use of all equipment; Coordinate machine and crew allocations to maintain production quotas needed to satisfy daily production schedule(s)
  • Maintain accurate records of equipment performance, malfunctions, reruns and other difficulties
  • Maintain daily production status records to include crew assignment, hourly counts by machine, and shift counts by job
  • Research problems in the lettershop and personalization departments, and work out resolution alongside Director of Operations
  • Coordinate hiring / temporary help needs with Director of Operations, as needed
  • Coordinate production schedule changes needed with Director of Operations
  • Ensure smooth transitions between shifts, including the communication of all pertinent information
  • Ensure that all preventative maintenance schedules are followed to minimize production interruptions
  • Ensure adequate and economic inventory of production supplies and material
  • Ensure that routine quality checks are being performed during production
  • Maintain a record of all production rework jobs with cause, resolution and samples
  • Ensure individual production quota numbers are being met; Provide additional training as needed or work with HR to take appropriate action
  • Notify QA Manager and Director of Operations of any possible quality issues for resolution
  • Ensure that all lettershop departments are clean at all times and that all maintenance procedures are followed
  • Notify HR of personnel issues and work with HR for resolution per Polaris HR policy
  • Maintain safe working habits of employees and self
  • Operate equipment when needed to ensure production requirements are met

Qualifications:

This position requires working around potential hazards to include working with, and in close proximity to, moving mechanical parts of production equipment, forklifts and other hazards associated with a manufacturing environment. Additionally, this position requires you to be open to presenting creative ideas and accepting feedback, be comfortable in a team environment, and resilient in the face of adversity.

Production: Bindery Setup / Operators

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Responsible for setting up, maintaining, and repairing bindery equipment
  • Set up and monitor high-speed continuous form cutters and folders during operation and make necessary adjustments
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to maintain daily manufacturing machine quotas
  • Perform quality assurance checks during production run
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience

Production: Inserter Operators / Sorters

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Operation of high-speed FlowMaster and Pinnacle inserters
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to follow quality assurance procedures to produce error-free work
  • Ability to maintain daily job quotas
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience

Production: Lettershop Set-Up Operators / Mechanics

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Responsible for setting up, maintaining, and repairing lettershop equipment
  • Set up and monitor high-speed inserters, inkjet printers, and various lettershop equipment during operation and make necessary adjustments
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to maintain daily manufacturing machine quotas
  • Perform preventative maintenance as scheduled
  • Must be mechanically inclined
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience
