Billing Coordinator

Polaris Direct is currently seeking a Billing Coordinator to join our team.

The position requires an energetic and detail-oriented person to facilitate and monitor the flow of purchase orders and invoices through a customer billing portal. Daily duties include tracking deliverables and managing the billing workflow within the customer billing portal. Responsibilities include frequent and timely communication with internal teams and customers, while ensuring the timely completion of weekly invoicing.

Duties and Responsibilities:

  • Collaborate with internal teams weekly to review customer job activity and establish deadlines for billing deliverables
  • Track and organize billing information received from internal teams
  • Input information in billing portal
  • Regularly track and update billing status
  • Identify and communicate potential issues and delays
  • Inform teams of any updates and changes as they occur
  • Identify opportunities to adjust and revise processes in order to increase efficiency
  • Communicate effectively with all departments
  • Develop and maintain an in-depth understanding of the billing portal
  • Create a standard operation procedure (SOP) manual for procedures performed within the billing portal
  • Perform other duties as assigned

Qualifications:

  • Bachelor’s degree in Business, Marketing, Communications, or related field or a combination of education and relevant experience
  • Proficient in all Microsoft Office applications
  • Aptitude for learning new software systems
  • Ability to add, subtract, multiply, and divide in all units of measure, as well as to calculate rate, ratio, and percentage
  • Outstanding verbal and written communication skills
  • Strong problem-solving skills
  • Detail-oriented and well-developed time management skills
  • Ability to work under pressure and with tight deadlines in a team environment
  • Self-starter with the ability to work efficiently and independently

This position requires the ability to work in a fast-paced and ever-changing environment while demonstrating accuracy and thoroughness throughout. It requires the ability to work cooperatively with multiple departments in-house. It requires the ability to be accommodating, communicative, yet firm when needed, with Polaris Direct’s customers and partner suppliers. While this position offers a set schedule of Monday – Friday, 8am to 5pm, it requires flexibility to change schedules or work overtime as needed. This position requires you to complete HIPAA certification and demonstrate full comprehension of the importance of protecting client information. Additionally, this position requires you to be open to presenting creative ideas and accepting feedback, comfortable in a team environment, and resilient in the face of adversity.

Production: Bindery Setup / Operators

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Responsible for setting up, maintaining, and repairing bindery equipment
  • Set up and monitor high-speed continuous form cutters and folders during operation and make necessary adjustments
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to maintain daily manufacturing machine quotas
  • Perform quality assurance checks during production run
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience

Production: Inserter Operators / Sorters

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Operation of high-speed FlowMaster and Pinnacle inserters
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to follow quality assurance procedures to produce error-free work
  • Ability to maintain daily job quotas
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience

Production: Lettershop Set-Up Operators / Mechanics

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Responsible for setting up, maintaining, and repairing lettershop equipment
  • Set up and monitor high-speed inserters, inkjet printers, and various lettershop equipment during operation and make necessary adjustments
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to maintain daily manufacturing machine quotas
  • Perform preventative maintenance as scheduled
  • Must be mechanically inclined
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees

Purchasing Coordinator

Polaris Direct is currently seeking a Purchasing Coordinator to join our team.

This position combines the proficiencies of customer service, project management, purchasing and vendor management. The Purchasing Coordinator will work with the Account Managers and Estimating department as a liaison between customers, partner vendors, and internal Polaris Direct departments to facilitate high-quality and timely output of work in the field of direct marketing / printing services and 1:1 marketing campaign management. The Purchasing Coordinator will learn all aspects of direct mail, including postal specifications, equipment specifications and personalization.

Duties and Responsibilities:

  • Prepare and execute Purchase Orders
  • Obtain necessary signatures from COO or designee
  • Supply all necessary supporting documentation for Purchase Orders
  • Prepare Live Job Notifications (as required)
  • Post art files for print/outsourced jobs in accordance with established vendor requirements
  • Review proofs against provided artwork
  • Distribute necessary proofs for approval, upon receipt from vendors
  • Upon approval or adjustments, notify vendors of final quantities and verify delivery date(s)
  • Obtain necessary proof revisions or adjustments in writing from vendors. Revise active Purchase Orders to reflect cost changes and notify the Estimator of revised Job Estimate
  • Materials management, including delivery schedules for paper, forms, ink, inserts, envelopes, static sets, personalized sets and commercial print
  • Effectively communicate with all internal departments of any potential late deliveries that may affect production
  • Inventory of raw materials

Qualifications:

  • 2-4 year college degree in business, or equivalent industry experience
  • Prior experience in direct mail or printing industry
  • Knowledge of business concepts, practices and procedures
  • Outstanding verbal and written communication skills
  • Strong project management and organizational skills
  • Strong follow-up skills, self-assured, ability to work independently
  • Ability to work under pressure and effectively handle multiple deadlines in a team-oriented, collaborative environment
  • Aptitude for learning new software systems
  • Ability to solve practical problems and deal with a variety of situations
  • Math aptitude, including the ability to add, subtract, multiply and divide
  • Proficient knowledge of Microsoft applications, including Excel and Word

Quality Assurance Auditor, Lettershop (2nd Shift)

Polaris Direct is currently seeking a Quality Assurance Auditor to join our Lettershop team.

The Quality Assurance Auditor will coordinate and proactively verify that all quality assurance procedures and policies are adhered to in a production environment. This position focuses on reviewing client and internal requirements to ensure Polaris Direct produces the highest quality output possible.

Duties and Responsibilities:

  • Oversee day-to-day Quality Assurance operations
  • Ensure that all quality control checks are followed for all jobs
  • Verify that all jobs are signed in at start of job
  • Review hardcopy hourly pulls for accuracy
  • Maintain a Quality Assurance hourly log
  • Make corrective action suggestions to the management team based on quality findings
  • Communicate effectively with all departments
  • Maintain working knowledge of US Postal Service requirements
  • Perform administrative duties, related to paperwork and documentation for production
  • Proactively identify quality issues
  • Demonstrate strong problem-solving ability and attention to detail
  • Demonstrate ability to work well in project teams
  • Maintain professional demeanor and exercise tact and discretion when difficult situations arise
  • Obtain understanding of lettershop/bindery production

This position requires the ability to work in a fast-paced and ever-changing environment while demonstrating accuracy and thoroughness. It requires the ability to be accommodating and communicative, yet firm when needed with Polaris Direct’s customers and partner suppliers. While this position offers a set schedule of Monday – Friday, 3:30pm to 12am, it also requires flexibility to change schedules or work overtime as needed during projects or campaigns that may require it. This position requires you to complete HIPAA certification and demonstrate full comprehension of the importance of protecting client information. Additionally, this position requires you to be open to presenting creative ideas and accepting feedback, comfortable in a team environment, and resilient in the face of adversity.
