Account Manager—Strategic Marketing Services

Polaris Direct is currently seeking an Account Manager to join our Strategic Marketing Services team to support a core group of clients across all aspects of the business, including strategic planning, social media content, web development, digital, creative services, brand building and print production.

Main Responsibilities:

  • Project manage all aspects of single- and multi-channel marketing campaigns from conception through execution and analysis
  • Provide timely and thorough responses to client inquiries and requests
  • Grow and maintain strong partnerships / relationships with internal Polaris team to assure the effective day-to-day servicing of clients
  • Represent and advocate on behalf of clients, serving as liaison
  • Ensure the schedule, cost and quality of each program align with client expectations
  • Provide reports and communication on progress of all key performance indicators
  • Report directly to the Account Director on day-to-day activities

Qualifications:

  • Bachelor’s degree required, preferably in a Business, Marketing or Communications field
  • 2-4 years of business experience in client-facing role, preferably in a commercial print or marketing agency environment
  • Possess a working understanding of the processes associated with developing and producing marketing materials
  • Some experience with creative services, direct mail, print production, lettershop or digital marketing is required
  • Energetic, detail-oriented, and able to prioritize multiple projects and work collaboratively in a team environment
  • Ability to work under pressure and with tight deadlines
  • Outstanding verbal and written communication skills
  • Strong project management, analytical and problem-solving skills

This position is located in our Hooksett, New Hampshire office and requires the ability to work in a fast-paced and ever-changing environment while consistently demonstrating accuracy and thoroughness. It requires the ability to work cooperatively with multiple departments in-house to champion the needs of the customer(s) with the ability to be accommodating, communicative and decisive when needed with customers and partner suppliers. While this position offers a set schedule of Mon – Fri 8am to 5pm, hours may flex to accommodate schedules. Manager, Production Services

Polaris Direct is currently seeking a Manager of  Production Services.

The Manager of Production Services directs single-site manufacturing operations through a team of supervisors. The position ensures increasing levels of customer and employee satisfaction while improving the efficiency of manpower, materials and machines.

Duties and Responsibilities:

  • Maintain compliance with established training programs for new team members
  • Maintain compliance with established department procedures
  • Recommend revisions / additions to department procedures through the Director of Operations
  • Oversee the day-to-day operation of the Lettershop
  • Process jobs according to assigned schedules and monitor the job load to ensure efficient use of all equipment; Coordinate machine and crew allocations to maintain production quotas needed to satisfy daily production schedule(s)
  • Maintain accurate records of equipment performance, malfunctions, reruns and other difficulties
  • Maintain daily production status records to include crew assignment, hourly counts by machine, and shift counts by job
  • Research problems in the lettershop and personalization departments, and work out resolution alongside Director of Operations
  • Coordinate hiring / temporary help needs with Director of Operations, as needed
  • Coordinate production schedule changes needed with Director of Operations
  • Ensure smooth transitions between shifts, including the communication of all pertinent information
  • Ensure that all preventative maintenance schedules are followed to minimize production interruptions
  • Ensure adequate and economic inventory of production supplies and material
  • Ensure that routine quality checks are being performed during production
  • Maintain a record of all production rework jobs with cause, resolution and samples
  • Ensure individual production quota numbers are being met; Provide additional training as needed or work with HR to take appropriate action
  • Notify QA Manager and Director of Operations of any possible quality issues for resolution
  • Ensure that all lettershop departments are clean at all times and that all maintenance procedures are followed
  • Notify HR of personnel issues and work with HR for resolution per Polaris HR policy

  • Operate equipment when needed to ensure production requirements are met

Production: Bindery Setup / Operators

Polaris Direct is currently seeking Production personnel for our first and second shift teams.

  • Responsible for setting up, maintaining, and repairing bindery equipment
  • Set up and monitor high-speed continuous form cutters and folders during operation and make necessary adjustments
  • Ability to read and follow work orders and instructions in written and oral form
  • Ability to maintain daily manufacturing machine quotas
  • Perform quality assurance checks during production run
  • Must be able to work overtime as needed
  • Shift differential for 2nd shift employees
  • High school diploma or equivalent, or 3 to 6 months related experience

Production: Inserter Operators / Sorters

Purchasing Coordinator

Polaris Direct is currently seeking a highly motivated Purchasing Coordinator to join our fast-paced team.

This position combines the proficiencies of customer service, project management, purchasing and vendor management. The Purchasing Coordinator will work with the Account Managers and Estimating department as a liaison between customers, partner vendors, and internal Polaris Direct departments to facilitate high-quality and timely output of work in the field of direct marketing and printing services, as well as 1:1 marketing campaign management. The Purchasing Coordinator will learn all aspects of Direct Mail including postal specifications, equipment specifications and personalization.

Duties and Responsibilities:

Purchasing Coordinator will assist the Account Managers in all aspects of the project life-cycle, including:

  • Pre-production duties: mock-ups, line-ups and other production related tasks
  • Inventory management
  • Administrative tasks: breaking tags for production, assembling production folders
  • Mail piece design
  • Postal regulatory compliance
  • Quality assurance
  • Laser and inkjet personalization
  • Planning and scheduling

Purchasing Coordinator will assist the Purchasing Department with:

  • Preparing and executing Purchase Orders
  • Obtaining necessary signatures from COO or designee
  • Supplying all necessary supporting documentation for Purchase Orders
  • Preparing Live Job Notifications (as required)
  • Posting art files for print / outsourced jobs, in accordance with established vendor requirements
  • Distribute necessary proofs for approval, upon receipt from vendors
  • Upon approval or adjustments, notify vendors of final quantities and determine delivery date(s)
  • Obtain necessary proof revisions or adjustments in writing from vendors; revise active Purchase Orders to reflect cost changes and notify the estimator of revised Job Estimate
  • Materials management, including delivery schedules for paper, forms, ink, inserts, envelopes, static sets, personalized sets and commercial print
  • Effectively communicate with all internal departments of any potential late deliveries that may affect production
  • Inventory of raw materials

Qualifications:

Traffic Coordinator / Quality Assurance Assistant

Polaris Direct is currently seeking a Traffic Coordinator / Quality Assurance Assistant.

This energetic and detail-oriented person will facilitate and monitor production workflow through all departments of the company. Traffic responsibilities include tracking and disseminating campaign details, monitoring schedules for due dates, and identifying potential issues that may disrupt workflow and deliverables. QA responsibilities include monitoring daily production pulls, identifying and troubleshooting QA issues, and reporting findings to appropriate departments. QA will also manage the DM sample process. Good communication, excellent time management skills and attention to details required. This entry-level position within the account management teams is an opportunity to learn the business and grow your career working with seasoned customer service professionals on enterprise-level corporate accounts.

Responsibilities:

  • Collaborate with internal teams to monitor production schedules for various departments, and follow-up to ensure that projects and processes are on schedule
  • Facilitate daily production meetings to ensure that teams are aware of daily deadlines
  • Utilize project management tools to keep teams informed
  • Regularly track and update project status
  • Communicate potential issues and delays to account teams
  • Inform internal account teams of any updates and changes, as they occur
  • Develop and maintain reporting
  • Identify opportunities to adjust and revise work processes in order to increase efficiency
